How to Archive and Delete Users
When it comes to managing users who should no longer be in your console, you have two options: to Archive or Delete. Archiving a user gives you the option to still include them in reports (See our Account Settings article for more information on the Include Archived Users in Phishing Reports option). You can also restore an archived user as if they were never removed from the console.
Deleting a user permanently removes them and all of their phishing and training history from your console.

Manually Archiving a User
Archiving a user will remove them from the admin console and they will not receive any phishing tests, nor will they be able to access any training campaigns. Also, archiving a user will prevent them from being counted as one of your licensed seats. There are two ways to manually archive a user:
Option 1: Individually
- Navigate to Users tab > Users.
- From the list, find the user you would like to archive.
- Under the Actions column, click the drop-down arrow of the desired user and select Archive.
Option 2: One or More Users
- Navigate to Users tab > Users.
- Click the checkbox to the left of the user or users you'd like to archive.
- From the menu bar that appears above the user list, click the Archive button.
Bulk Archive from CSV
If you would like to archive multiple users from the console, we recommend using the Bulk archive from CSV option. To do this, follow the steps below:
- Create a CSV with the email addresses of the users you want to bulk archive.
- The CSV should only include the email field. Do not include any additional fields such as First Name or Last Name.
- Navigate to Users tab > Users.
- From the header of the Users List, click on Bulk Archive.
- In the Bulk Archive Users window that appears, click Browse... to select and upload your prepared CSV file.
- Select who you wish to notify of these changes.
- You can also choose to send a notification to yourself by clicking the corresponding checkbox.
- When you're ready, click Archive to archive the users from the CSV.
Manually Delete a User
You can Delete users to permanently remove them from your console. Every record of the user, including all phishing and training history, will be deleted.
To delete a user, first archive the user. Then, view the archived users by using the Status drop-down above the user list and select Archived.
There are two ways to manually archive a user:
Option 1: Individually
- From the Archived user list, find the user you would like to delete.
- Under the Actions column, click the drop-down arrow of the desired user and select Delete.
Option 2: One or More Users
- From the Archived user list, find the user or users you would like to delete.
- Click the checkbox to the left of the user or users you'd like to delete.
- From the menu bar that appears above the user list, click the Delete button.
Bulk Delete from CSV
You can Delete users to permanently remove them from your console. Every record of the user, including all phishing and training history, will be deleted.
To delete a user, first archive the user. Then, view the archived users by using the Status drop-down above the user list and select Archived.
To bulk delete using a CSV file, follow the steps below:
- Create a CSV file with two columns. For the first column, use the header Email. For the second column, use the header Full Delete.
- Using one row for each user, enter a user's email address. Then, type the word True in the Full Delete column. Repeat this for each user you would like to delete and then save the CSV.
- Navigate to the Archived user view.
- From the header of the Users List, click on Bulk Delete.
- In the Bulk Delete Users window that appears, click Browse... to select and upload your prepared CSV file.
- Select who you wish to notify of these changes.
- You can also choose to send a notification to yourself by clicking the corresponding checkbox.
- When you're ready, click Delete to delete the users from the CSV.
Restore an Archived User
You can restore an archived user to add them back into your user list. This will also restore their phishing and training history.
View the archived users by using the Status drop-down above the user list and select Archived.
There are two ways to restore a user:
Option 1: Individually
- From the Archived user list, find the user you would like to restore.
- Under the Actions column, click the drop-down arrow of the desired user and select Restore.
Option 2: One or More Users
- From the Archived user list, find the user or users you would like to restore.
- Click the checkbox to the left of the user or users you'd like to restore.
- From the menu bar that appears above the user list, click the Restore button.
Reimporting a Deleted User
Users who have been deleted must be reimported into your console. Use the quick import function to add them again. The phishing and training history of a previously deleted user, cannot be restored.
