This article provides a breakdown of File and Folder roles in Workspace and what actions or permissions the different roles allow. File and folder roles determine the actions a user can perform on a specific file or folder. These can include the following permissions:
- The ability to edit a specific file
- The ability to delete files or folders
- The ability to lock files or folders
Files and Folders
The following files and folders permissions are available.
- Administer File Locks: Allows the user to view the locking settings of files. Once locked, users will not be able to edit or access the file unless it's unlocked.
- Create Folders: Allows the user to create new folders within the zone.
- Delete Files/Folders: Allows the user to delete files and folders within the zone.
- Download Files: Allows users to download files from the Workspace.
- Lock Files: Allows the user to lock files.
- Move Files: Allows the user to move specific files.
- Rename Files: Allows the user to rename files.
- View File History: Allows users to view the file history. This permission includes being able to view previous versions of a file and when new versions were saved or updated.
- View File Properties: Allows the user to view the File Properties tab. This permission includes being able to view the File Classification and File Expiry settings.
- Edit File Properties: Allows the user to edit the File Properties tab.
- Add Files: Allows the user to upload or add files to a folder.
- File Restrictions (Availability Dates): Allows the user to view the File Restrictions tab. Once an availability date has passed, the file will be locked and will not be accessible unless unlocked.
- Edit File/Folder Permissions: Allows the user to edit file and folder permissions for other users.
- View File/Folder Permissions: Allows the user to view the file/folder permissions.
- Share an Individual File: Allows the user to share a specific file, rather than the entire zone.
- Allow Exclusive Editing of Documents: Allows the user to make individual edits, preventing other users from editing the same file during the same session.
- Allow Team Editing of Documents: Allows users to use the team edit feature. This permission allows for collaborative editing on the same file.
- Copy Files: Allows the user to use the Copy feature.
- Create File Requests: Allows the user to create file requests, which provide an email request to the relevant recipient.
- View Metadata Tags: Allows the user to view any existing metadata tags associated with a file.
- Edit Metadata Tags: Allows the user to edit or create new metadata tags on a file.
- Create Public Link: Allows the user to create a public link. These links allow users to access a file without requiring a login or an account.
- Edit Folder Domain Shares: Allows users to edit folder domain shares.
Discussion Permissions
The Discussion tab enables users to communicate within a specific file or folder that they are collaborating on.
- Add/Remove Folder Discussion Messages: Allows the user to add or remove folder discussion messages.
- View Folder Discussion: Allows the user to view the Folder Discussion tab and see previous messages.
- View Deleted Folder Discussion Messages: Allows users to view deleted messages on the Folder Discussion tab.
