In Workspace, users are assigned roles that define the actions they are authorized to perform. There are two different types of roles:
- System Roles: Define the core system permissions the user has, such as access to administration and auditing tools.
- Zone Roles: Define the capabilities a user has on a per-zone basis.
For example, a user may be a guest user in the system, but an admin in a particular zone. They may be able to create zones, but will not be able to perform administrative or auditing functions of the whole Workspace.
Roles are fully customizable, and as a business account admin, you have full control over the roles that users receive. The specific permissions for each role can be customized, and new roles can be created as needed.
Creating a New Role
To create a new role in Workspace, follow the steps below:
- Navigate to Admin Tools > Roles > Manage System Roles / Manage Zone Roles.
- Select the plus icon.
- Give the new role a name and select Create Role.
- The new role will display in the list of roles. Select the role and choose the capabilities you want to give to users assigned to this role.
Changing a User's System Role
To change a user's system role, follow the steps below:
- Navigate to Admin Tools > Manage Users and Groups.
- Search for the user whose role you want to change.
- Select the Edit User button on the line entry of the user.
- Use the System Role drop-down menu to select the desired role.
- The change in role will occur the next time the user signs in.
Changing a User's Zone Role
To change a user's zone role, follow the steps below:
- Navigate to the required zone.
- On the right side of the zone, there is a shared user list. Select the user whose role you want to change.
- Choose the new role you want to assign to the user or revoke their access.
- Select Save to confirm.
Changing Role Features
To change the features of a role, follow the steps below:
- Navigate to Admin Tools > Roles > Manage System Roles / Manage Zone Roles.
- Select a role to open the Edit Role window.
- Edit the permissions capabilities as required.
- Select Save Changes in the top-right corner to complete the role changes.
