The Admin Tools section of Workspace contains Server Settings, where admins can modify KSI, document editor, and multi-factor authentication (MFA) settings.
KSI Authentication Settings
Workspace contains functionality to view and edit your KSI authentication settings. To manage your KSI, please contact your Workspace engineer.
Document Editor Settings
Admins can disable document editing functionality for all users and select which editors are available to them. To do this, follow the steps below:
- Navigate to Admin Tools > Server Settings > Document Editor Settings.
- To prevent any users from opening the document editor, clear the check box next to the Allow Document Editing option.
- Select or deselect which editors users can access.
- Select Save Changes.
Authentication Settings
Workspace supports multi-factor authentication (MFA) using the authentication apps, SMS, and email. Admins can configure MFA by navigating to Admin Tools > Server Settings > MFA Settings.
MFA can be configured for the following users and scenarios:
- All users
- External users only
- Internal users only
- External users and internal users from non-approved networks
- Internal users from non-approved networks
SMS MFA Considerations
When enabling SMS MFA, it is important to note the following considerations:
- UK-hosted Workspaces use alphanumeric text messages that are not accepted in all countries. Therefore, SMS MFA may not be suitable for all customers.
- SMS MFA will be unsuccessful for any UK users trying to access US Workspaces. SMS MFA uses long codes, which are blocked in the UK.
Resetting MFA
To reset MFA for a user, follow the steps below:
- Navigate to Admin Tools > Users/Groups > Manage Users and Groups.
- Search for the user who needs to be reset.
- Select the Edit User button on the line entry of the user.
- The User Profile page is displayed.
- In the Manage User Access tile, select Reset MFA.
