The recycle bin is a crucial safety net feature in Workspace, protecting you from accidental deletion and providing you with an option for when you want to delete a zone but may wish to revisit it later.
To enable the recycle bin feature, follow the steps below:
- Navigate to Admin Tools > Roles > Manage System Roles.
- Select the user type you wish to be able to access the Zone Recycle.
- Under Zone Features, use the check box to enable or disable the zone recycle bin.
To allow or disallow users from viewing or permanently deleting a zone from the recycle bin, follow the steps below:
- Navigate to Admin Tools > Roles > Manage Zone Roles.
- Select the user type you wish to be able to amend permissions for.
- Under the Zone Recycle Bin section, use the check boxes to enable or disable the ability to delete or activate any zones in the recycle bin.
File Retention
File retention allows a standard deletion date to be set for all files being uploaded by any user onto Workspace. The policy can be set up with the following retention types:
- Soft Delete Policy: The retention policy directs files to the zone-specific recycle bin, allowing users to retrieve them before they are deleted.
- Hard Delete Policy: Files are deleted at the end of the period defined by the policy. You can configure when files will be marked as "soon to be deleted". Implementing a hard delete policy will automatically disable the recycle bin.
To access and edit your file retention policy, follow the steps below:
- Navigate to Admin Tools > Zones > File Retention Policy.
- On the File Retention Policy page, use the drop-down menu to select Soft Delete or Hard Delete.
- Complete the retention parameters.
- Select Save Settings.
Recycle Bin Settings
Recycle bin settings can be used to enable or disable the recycle bin function and customize your clean-up policy. To do this, follow the steps below:
- Navigate to Admin Tools > Zones > Recycle Bin Settings.
- Use the check boxes to:
- Enable Zone Level Recycle Bin for files and folders
- Automatically delete files or folders within the recycle bin. This feature also allows you to specify the time period for which you would like files to remain in the recycle bin.
Reactivating a Zone
If you have configured a hard delete policy and later reactivate a previously archived zone, you will be notified of any files that will be removed upon reactivation. You will have the option to download these files before reactivating the zone.
