Workspace zones are secure areas where you can organize, share, and collaborate on files with internal and external users. This article outlines how you can manage zones efficiently and securely for your organization.
Viewing and Managing Zones
You can view a list of all the zones under your administrative control. To do this, navigate to Admin Tools > Zones > Manage All Zones. This page is useful if you want to view zone information such as the number of files in a zone, the owner's name, the size, or the date it was last modified. You can also view and modify who has access to a particular zone through zone shares by selecting the shares icon in the settings column.
Creating Zones for Other Users
As a system admin, you can create zones for other users and assign them as the zone admin. You can assign someone as a zone admin even if they do not exist on the system by entering their email address. An invite will be sent to the user. If you make the owner a Power User, they will be able to create their own zones.
To create a zone for another user, follow the steps below:
- Navigate to Zones > Manage All Zones > +.
- Complete the Zone Create page to give the new zone a name, description, owner, and template. The owner you specify will be given the zone admin role.
- Choose the send an invitation email.
- Select Create.
Bulk Creating Zones
You can create multiple zones simultaneously by importing a CSV file. This feature can be useful if you want to give multiple users their own specific zone. The file should contain column headers for zone names, descriptions, and access lists. The user details in the access list should be email addresses separated by commas.
- Navigate to Admin Tools > Zones > Bulk Zone Creation (from CSV).
- Select the plus icon to import a new CSV.
- Select the file to import and give the bulk creation task a description.
- Select Create.
- In the Create window, map the zone fields to the headers in your CSV file. For example, match the required zone fields, Name, Description, and Access List, to the column headers in your CSV file by selecting each header from the drop-down menus.
- Select the zone role to give the members in your zone access lists. Zone roles are fully customizable.
- Select who owns the new zone. This owner can be you or the first name in the access list.
- Select Create to create the zones from your CSV file.
Edit Public Sharing
In order for a user to create a public link, you must first enable the Create Public Link permission for their role type. To do this, follow the steps below:
- Navigate to Admin Tools > File / Folder Roles.
- Select the role you wish to grant this permission for.
- Enable the Create Public Link permission.
You can now change the public sharing settings for the zone. To do this, follow the steps below:
- Navigate to Admin Tools > Zones.
- Select Public Sharing Settings.
- Enable or disable the Public Sharing option.
- Edit the Public Sharing Disclaimer as required.
Deleting a Zone
To reduce the risk of zones being deleted by accident, deleting zones involves a two-step process. To delete a zone, follow the steps below:
- Navigate to the zone you wish to delete.
- From Zone Options, select Archive Zone.
- Navigate to Archived Zones from the menu on the left side of the page.
- Locate the zone you wish to delete and select Action (***) > Delete Zone.
