How to Export Data in the Policy Management Module

In the Policy Management module of KCM GRC, you can export data to view and keep records of information that you may need in the future. You can export a list of all policies, a list of all campaigns, or a report for an individual campaign in your platform. When you export data in the Policy Management module, the data exports will appear on the Data Exports page. From the Data Exports page, you can download data exports to your device.

Exporting a Policy List

You can export a list of all of the policies in your platform. Exporting a policy list can help you monitor and record the policies that your users are acknowledging. 

To export and download a list of your policies, follow the instructions below:

  1. Navigate to Policy ManagementPolicies from the navigation panel.
  2. Click the Export CSV button.  Export CSV Policy List PNG
  3. In the Name of Export field, enter a name for your data export. 
  4. Click the Create Export button. 
  5. Navigate to Data Exports from the navigation panel. 
  6. Find the data export that you created.
    Note:In the Type column of the Data Exports page, policy list exports are labeled Policy List
  7. In the Actions column, click the Download button. Data Exports Download Button PNG

After you download your policy list export, you can open the file in your preferred spreadsheet program. To learn about the types of data that the policy list export will include, see the table below: 

Column Header Description
Name This column shows the name of each policy.
Type This column shows Document for policies that were uploaded to your platform as a file and Link for policies that were added to your platform as a link. 
Campaigns This column shows the campaigns that each policy is included in.
Version This column shows each policy's version identifier, if applicable.
Description This column shows each policy's description, if applicable.
Date Created This column shows the date that each policy was added to your platform.
Last Updated This column shows the date that each policy was last updated in your platform.

Exporting a Campaign List

You can export a list of all of the campaigns in your platform. Exporting a campaign list can help you monitor and record the progress of your campaigns.  

To export and download a list of your campaigns, follow the instructions below:

  1. Navigate to Policy ManagementCampaigns from the navigation panel.
  2. Click the Export CSV button.  Export Policy Campign List PNG
  3. In the Name of Export field, enter a name for your data export. 
  4. Click the Create Export button. 
  5. Navigate to Data Exports from the navigation panel. 
  6. Find the data export that you created.
    Note:In the Type column of the Data Exports page, campaign list exports are labeled Policy Campaign List
  7. In the Actions column, click the Download button. Download Campaign List PNG

After you download your campaign list, you can open the file in your preferred spreadsheet program. To learn about the types of data that the campaign list export will include, see the table below:

Column Header Description
Campaign Name This column shows the name of each campaign.
Policies This column shows the names of the policies that are included in each campaign.
Groups This column shows the user groups that are assigned to each campaign.
Auto Enroll This column shows Yes for campaigns that have automatic enrollment enabled and No for campaigns that do not have automatic enrollment enabled.

Status This column shows Active for campaigns that are in progress and Completed for campaigns that have ended.
Campaign Owner This column shows the email address of the user who created each campaign. 
Start Date This column shows the date and time that each campaign started.
Important: The CSV file uses Universal Time Coordinated (UTC) time, so the dates and times in this column may differ from the dates and times that appear in your console. To learn about the time zone setting in your platform, see the Account Settings section of our How to Manage Your KCM GRC Account Settings article. 
Date Completed This column shows the date that each campaign was completed, if applicable.
Progress This column shows the percentage of policies that users have acknowledged for each campaign.
Scheduled Notifications This column shows the types of notifications that the campaign owner scheduled for each campaign. If there are no scheduled notifications for a campaign, this column will show No Notifications.

Exporting a Campaign Report

You can export information about an individual campaign in your platform. Exporting a campaign report can help you view and record data about the campaign. 

To export and download information about an individual campaign, follow the instructions below:

  1. Navigate to Policy ManagementCampaigns from the navigation panel.
  2. Select a campaign from the Name column. 
  3. Click the Export CSV button.   Export Policy Campaign Report PNG
  4. In the Name of Export field, enter a name for your data export. 
  5. Click the Create Export button. 
  6. Navigate to Data Exports from the navigation panel. 
  7. Find the data export that you created.
    Note:In the Type column of the Data Exports page, policy list exports are labeled Policy Campaign Report
  8. In the Actions column, click the Download button.  Download Campaign Report PNG

After you download your campaign report export, you can open the file in your preferred spreadsheet program. To learn about the types of data that the campaign report export will include, see the table below:

Note: Users will have one row for each policy that is included in the campaign. For example, a campaign that includes three policies will show three rows for each user. Each row will contain all of the fields that are in the table below. 
Column Header Description
Campaign Name This column shows the name of the campaign. 
First Name This column shows the first name of each user who is enrolled in the campaign. 
Last Name This column shows the last name of each user who is enrolled in the campaign.
Email This column shows the email address of each user who is enrolled in the campaign. 
Policy Name This column shows the names of the policies that are included in the campaign.
Start Date This column shows the date that the campaign started. If you have enabled automatic enrollment for the campaign, this column will show the date that each user was enrolled in the campaign.
Status This column shows Completed for users who have acknowledged the policy and Pending for users who have not acknowledged the policy. 
Date Acknowledged This column shows the date that each user acknowledged the policy.
