How to Use the Custom Questions Tab of Your Platform

This article explains the Custom Questions area of your console. You can use the Custom Questions page to create, view, or edit the questions that you want to use in multiple questionnaires. Once you've created custom questions, you can add them to questionnaires from the questionnaire builder.

Note: As a best practice, we recommend creating custom questions prior to creating questionnaires. See our Vendor Risk Management Module Guide for the full suggested order of workflow when onboarding with your VRM module.

Follow the sections below to learn more about creating and working with custom questions.

Editing Custom Questions

From the Custom Questions page, you can edit the custom questions that you have already added to your platform.

It is important to note that custom questions are dynamic. This means if you edit a custom question, from either the Custom Questions page or from a questionnaire, all instances of the question are affected. This is further-explained in the two examples, below:

  • Custom Question A has been added to three questionnaires. From the Custom Questions page, you edit Custom Question A. The changes that you've made to Custom Question A are reflected in each of the three questionnaires.
  • Conversely, Custom Question A has been added to three questionnaires. You open one of these questionnaires and edit Custom Question A (from the questionnaire builder). The changes that you've made to Custom Question A are reflected in the other two questionnaires and on the Custom Questions page.
Important: You cannot edit or delete custom questions that are in an active questionnaire. Questionnaires are considered active when they are in "Reviewed" status.

Follow the steps below to edit a custom question from the Custom Questions page:

  1. Click the pencil icon button to the right of the question (shown below).
  2. Make the necessary changes, then click the checkmark icon button to save your updates.

The changes are immediately applied to all instances of the custom question.

Adding Custom Questions to Questionnaires

After custom questions have been added to your account, add them to your questionnaires from the questionnaire builder.

Follow the steps below to add custom questions to a questionnaire:

  1. Create a new questionnaire or open a questionnaire that is not finalized, meaning, not in "Reviewed" status. See our How to Create and Configure Questionnaires article for details about creating or finalizing a questionnaire.
  2. On the left side of the page, in the Add Questions From: area, select the first button on the left, as shown below.
  3. From the Questionnaire Templates modal window, click Custom Questions on the left-hand side.
  4. Use the checkboxes to the left of the questions to select the custom questions you want to add. To add all of your custom questions, click the top-level checkbox.
Tip: In this modal window, custom questions are ordered by the most recent Last Updated date. Navigate to the Custom Questions page to see the Last Updated dates for custom questions.
  5. Click the Add button to add the selected questions to your questionnaire.
Note:For details about the "CAIQ" and "SIG" selections that are available in this modal window, please see the Method 1: Adding Questions from System Templates section of our How to Create and Configure Questionnaires article.
  6. Now, you will configure point values for each custom question. To view the questions you've added, click All. Then, click Custom Questions.
  7. Click the pencil icon button and add a value to the Points field. Repeat this step for each custom question that you have added to the questionnaire.
Tip:Alternatively, you can assign the same point value to all of the questions in your questionnaire. For more information, see the Configuring System Template Questions section of our How to Create and Configure Questionnaires article.
