If you are not using user provisioning to maintain your console's user list, you can use a combination of the Archive Users option and the CSV Import tool to update your active users. When users are archived, they are no longer considered Active Users, but their data is still available in the console.
Important: Do not use this method if you have a training campaign that allows users to take courses multiple times. Archiving and reimporting users will re-enroll them in these training campaigns. The user's original enrollment and completion data will still be available, but they will show as enrolled in the same training again. If this issue occurs, we suggest checking out this article for directions on removing the re-enrolled users.
To update your active users, follow the steps below:
- Prepare a CSV file that contains the current employees who you would like to keep as Active in the console. See our How Do I Import Users with a CSV File? article for more information.
- In your KnowBe4 console, navigate to the Users tab.
- From the header of the Users List, click on Download CSV.
- Open the downloaded CSV file and delete all columns, except for column A. Keep only the Email column with your users' email addresses. Be sure to also remove the headers of all the deleted columns, not just the data within them.
- Save the edited CSV file.
- In your KnowBe4 console, from the header of the Users List, click on Bulk Archive.
- From the window that appears, click Browse and upload the edited CSV file.
- Choose your notification settings, then click Archive.
- Once all of your users are archived, go to Users > Import Users and click on CSV Import.
- Click Browse and upload the CSV file from Step 1—it should contain the current employees who you would like to include as Active users.
- Choose your notification settings, then click Import Users.
- All of the users in the imported CSV will be restored, along with their past data. Any user not included in the imported CSV file will remain archived.
