Adding training modules to a running campaign
AnsweredI find it very annoying that it is not possible to add a training module to a campaign after it started. In KnowBe4 I need to create campaigns for any training I want to provide, so I have campaigns with no end date for a few modules that I want to be always available (so not really provided in a "campaign" way, but there is no other option). For example, I have a "Phishing Awareness" training campaign with a couple of modules I want to be always available to all users, and I would really like to be able to e.g. add a new module that was released afterwards. If I create a new campaign for the new module the result is confusing for the users (because they will see the new module in a separate campaign, not grouped with the other modules on the same topic). I could delete the old campaign and create a new one including the new module, but that would mess up the statistics. Why is it not possible to simply add a module to an existing campaign?

I'll second this request too.
I often find it frustrating that I can't change much about a campaign once it's started, even if very few users have done the training yet. For instance, I recently started a "required" training that was just 3 short modules, 15 minutes total. But when people complete that, they are automatically enrolled in an open-ended "optional" campaign that allows them to take some other selected modules. It might be nice for that curated selection of optional modules to be able to change over time based on user feedback, but such updates aren't possible.

I seconded this back in 2018, but let me just add a note for some of the other people who have recently added "us too" messages, based on my last couple of years' experience.
This feature is best suited to use in NON-MANDATORY -- and generally long-running or "permanent" campaigns -- NOT to add a mandatory requirement once a campaign has started. If the addition is required, the messaging becomes messy -- people who have completed the previous content need to be reminded that something new has been added, but people who haven't completed the training DON'T need such a reminder. And my experience has been that if people THINK they have completed some block of training, they pretty much ignore any other messages about it. If something is new that they NEED to do, it's best to present it as a completely new requirement, and a new campaign in that case is entirely appropriate.
(So @Andy Maxwell, if you want ALL your users to sign the policy (I assume you mean something like a "rules of behavior" agreement), you really would be better off making that its own separate campaign, with the same target audience. If you want to make availability of the agreement contingent on completing the training, you could assign people who complete the training to a "Sign Policy" group*, and make the policy campaign apply only to that group.
(* If you can edit the campaign to do that -- an edit that SHOULD be allowed! (But it looks like you can't.) If you can't, you can use a "smart group" that looks for completion of the required training modules and automatically adds anyone who meets that criterion.)
- Both the original requestor and I had use-cases where we really just wanted to offer a library of available, optional training -- which one might reasonably adjust or expand over time. I was going to say that maybe this should be a new, substitute feature request, but in searching the keyword "library" I found that KB4 HAS ADDED almost exactly that feature. Search for "optional learning" -- here's one article about it: https://support.knowbe4.com/hc/en-us/articles/1500002656002. There are caveats -- if you turn this feature on, any campaign that you didn't assign an end-date to will switch from mandatory to optional -- so be sure to add an end-date well in the future if you want to keep those campaigns going as required. Then after turning on Optional Learning it sounds like any remaining "no end" campaigns will appear to users as a "Library".
- So for the original requestor and me, it seems like this functionality has been added, just not in the way we originally envisioned. It would be nice to be able to EDIT the content of the campaigns with no end-date -- or edit the Library directly -- but it appears that when you want to add content to a Library you need to create a new campaign with no end date. And there's no way to remove content without deleting an entire campaign (or assigning it an end-date of "now").

Interesting to see your thoughts after a few years of experience in the product. You raise a valid point around the messaging confusion for users who had previously completed all modules and now have additional modules to complete- something I had not yet considered!
In my org, we are releasing episodes of Inside Man and other series to the Library (Optional Learning) on a periodic basis- Due to lacking the ability to edit campaign content, this has forced us to make additional on-going campaigns for each set of episodes that we release. It would be much simpler to administer if we were able to have a single 'Inside Man' campaign and continually add new episodes to the campaign over time. -
Jeremy -- See the first bullet point in my recent comment -- I haven't tried the new feature yet, but I believe you should be able to put all of the training you want into what KB4 is calling an "Optional Learning" library. You will no longer need to keep creating new campaigns.
But be careful -- read the link in my previous post carefully.
The most important caveat is that once you turn on Optional Learning in your account, it automatically converts ALL campaigns without a defined end-date into "optional learning". I believe that means that all the "ongoing" campaigns you've created to accomplish the "library" effect will automatically be converted into the Optional Learning library -- exactly what you want -- BUT, you need to make sure that there are no MANDATORY campaigns that have no end date. Every mandatory campaign should have an end-date BEFORE you enable the new Optional Learning feature.
Lastly, no offense, but Inside Man - seriously? It's like someone was a wannabe soap-opera director and used training as an excuse. I watched a few episodes and there was almost no educational content for the time spent. I don't look for dry, all-business content, but the Popcorn Training series (like Cyber Heroes) struck a MUCH better balance. Our people love those, and I've gotten comments that they wish ALL of our corporate training was like that. I just wish that Popcorn was continuing to make new content -- we've used most of the existing modules by now.
