Automate Assessment Result Training Using Smart Groups

Before You Begin
Building this automated training plan consists of creating seven Smart Groups and seven corresponding training campaigns. The progression of this plan depends on the results of a user’s Security Awareness Proficiency Assessment. Make sure to assign an assessment to your users before creating the Smart Group.
You must also decide what training content you'd like to assign to strengthen each type of knowledge area. For the training campaigns, you will make one for each of the seven knowledge areas. From your account, browse the ModStore to decide which training assignments you'd like to assign.
Step One: Create a Smart Group for Each Knowledge Area
Begin by creating a Smart Group for each knowledge area. Users who score lower than the desired score for that knowledge area in their assessment will be automatically added to this Smart Group. Follow this section to add the appropriate criteria rules to each of your Smart Groups.
Name the first remedial training Smart Group something descriptive of its purpose, such as Knowledge Area – Email Security.
Add the following criteria for this Smart Group:
Assessments: User must have scored less than [desired percentage] in any of these [select desired knowledge area(s)] [select desired timeframe] |
This set of criteria creates parameters for all users who have scored less than the desired percentage in a particular knowledge area.
As one of our best practices for implementing the KnowBe4 platform, we suggest conducting an assessment after your first phishing test but before your first training campaign.
Continue with the criteria rule pattern demonstrated in the table above to create Smart Groups for each of the seven knowledge areas. These knowledge areas are:
- Email Security
- Incident Reporting
- Internet Use
- Mobile Devices
- Passwords & Authentication
- Human Firewall
- Social Media Use
Alternatively, you can create a Smart Group for users who score below a certain percentage on a group of knowledge areas.
Once you've created your assessment results Smart Groups, proceed to the next section to create a smart group for users who were proficient in all knowledge areas.
Step Two: Create a Smart Group for Proficient Users
Next, create a Smart Group for users who score above the desired score in all of the knowledge areas in their assessment. Though these users are proficient in every knowledge area, we do recommend that users enrolled in this smart group be phished more often to ensure their skills are being tested regularly. Follow this section to add the appropriate criteria rules to your Smart Group.
Name the Smart Group something descriptive of its purpose, such as Proficient Users.
Add the following criteria for this Smart Group:
Assessments: User must have scored more than [desired percentage] in all of these [select ALL knowledge area(s)] on the most recent completed assessment. |
This set of criteria creates parameters for all users who have scored above the desired percentage in every knowledge area.
Note:
Selecting the entire assessment option instead of selecting all selected knowledge areas then selecting all 7 of the knowledge areas will pull users into the smart group based on the average of their scores. This smart group is set up to include only those users who scored well in every knowledge area.
Once you've created your assessment results Smart Groups, proceed to the next section to create remedial training campaigns.
Step Three: Create Training Campaigns for Each Knowledge Area Smart Group
Now, set up training campaigns to correspond with each knowledge area Smart Group.
Below you'll find details about the training campaign settings. Use these settings to create campaigns that will strengthen a user's comprehension of a particular knowledge area. These campaigns should align with the Smart Groups you set up in step one (see above).
- Campaign Name: Name the training campaign something that indicates the specific knowledge area as well as the Smart Group it is intended for.
- End Date: Be sure to choose a Relative Duration end date so this campaign will be ongoing and each user will have the same amount of time to take the training once enrolled.
- Content: Select the training content you want your users to take to help them improve in the knowledge area.
- Enroll Groups: Be sure to select the appropriate Smart Group for the knowledge area this campaign covers.
- It is important to keep the Enable automatic enrollment for new users option enabled. This allows the automatic enrollment of users into training, as a result of being added to a Smart Group after scoring less than the desired percentage on a particular knowledge area when taking an assessment.
- Notifications: At a minimum, you’ll want to add a Welcome notification here to notify your users upon their enrollment in training. We would also recommend adding one to two reminder notifications to encourage the user to complete the training prior to their due date.
Continue to create training campaigns for each Smart Group you have put in place. Once you've set up these Smart Groups and training campaigns, users will be automatically enrolled in training for specific knowledge areas after results come back from an assessment and they scored less than the desired score in a particular knowledge area.
